The Trident Youth and Community Centre Conditions of Hire (Charity No 1172028) Main Hall

For the purposes of these conditions, the term HIRER shall mean any individual hirer or, where the hirer is an organisation, the authorised representative. The term Trustees shall mean those Trustees currently serving The Trident Youth and Community Centre.

The Hirer

1. Will be responsible for the supervision of the premises and its contents and the behaviour of persons attending the event and shall be responsible for, and indemnify the Trident Youth and Community Centre in respect of, all damage and loss and all costs of repair and replacement. The Hirer will also ensure that no disturbance or excessive noise occurs outside the hall and that ALL music finishes by 23.45. Smoking, the lighting of candles or use of a smoke machine are not permitted on the premises.

In the event of a fire, the premises should be evacuated in an orderly manner using the appropriate exits, assembling at the far end of the car park, and the Fire Brigade called by dialling 999.
The Fire Exits in the main hall can be opened by pushing on the Push Bars, or using the handle in the case of the front door.
The exact location of the fire exits and fire extinguishers must be noted before the premises are occupied and the manner of opening Fire Doors should be made known to your guests. All accidents must be recorded in the Accident Report Book which is kept with the First Aid Box in the kitchen.

Maximum number of persons permitted in the hall – 85 seated.

2. Will make all proper car parking arrangements, ensure that no highway is obstructed and that on arrival and when leaving the premises, noise is kept to a minimum. Also will, at the end of the hiring, replace any items used to their original positions, ensure that the premises and surrounds are left in a clean and tidy condition, remove and take away all rubbish, lock and secure the premises.

3. Shall not use the premises for any purpose other than that described in the Hiring Agreement and shall not sub-let, use or allow the premises to be used for any unlawful purpose. Nor shall anything be brought onto the premises that may cause danger or damage to any person or to the said premises, nor shall any ball game, sport or other physical activity take place without consulting the Chairperson. We do allow bouncy castles so long as they are supplied by a reputable source with their own public liability insurance. As we do not accept responsibility for any miss-haps. Please forward us a copy of their insurance and public liability which they should give you when booking.

4. Shall comply with all regulations made in respect of the premises by the Fire Service, Local Authority and Magistrates Courts particularly in connection with any event which includes music, dancing, stage plays or other similar public entertainment. The hirer will also be responsible for obtaining any such licence as may be required for the sale or supply of alcohol. A Temporary Event Notice can be obtained through the Somerset West and Taunton Council, the current charge is £21, ten clear days’ notice required. Control click the following link Self Service (achieveservice.com). The hirer will ensure that nothing is done on the premises that contravenes the law relating to betting, gaming or lotteries.

5. Shall insure that any electrical appliance brought onto the premises is in good working order and used in a safe manner. The hirer will also ensure that no person under the age of 16 enters the kitchen or operates any electrical appliance and that all electrical items offered at nearly new Sales are NOT tested on the premises.

6. Shall ensure that no animal (other than Guide dogs) are brought onto the premises without the previous permission of the Trustees.

7. Must inform the Trustees of any cancellation of a booking by giving as much notice as possible. The Trustees reserve the right to charge a cancellation fee where appropriate. The hirer will be emailed an invoice from the Treasurer which must be paid before the date of hire. In the event of any breakages, damage or leaving the hall in an unacceptable condition the hirer will be responsible for paying additional cleaning, repair or replacement costs deemed necessary by the Trustees and will be sent a separate invoice to cover any such costs. The Hall is checked every morning by our caretaker/cleaner.

The Trustees

1. Can cancel any hiring in the event of the premises being required for use as a Polling Station for a local, parliamentary or by-election.

2. Reserve the right to refuse or cancel a booking at any time upon giving the hirer seven days notice in writing with an offer of a refund of monies already paid. The Trustees will not be liable for any other payments and accepts no responsibility for any loss or damage to any property of any person attending functions at the hall.

3. We do not accept any bookings for 18th or 21st Birthday parties.

Additional Information

Number of persons seated in Main Hall 85.

Adhesive tape, blue tack, nails, screws etc. are not to be used as fixings in the hall, as they cause damage to property. In addition no stickers, tape or chalk to be used on the floor.

The hirer must ensure that the Hall (including its contents and surrounds) is left secure, undamaged and in a clean and tidy condition, suitable for use by the next hirer.

It is the responsibility of Hirers to see that the hall, kitchen is left clean after use with all worktop surfaces wiped. The Hall and kitchen floor must be swept and any spillages mopped up. Floor cleaning equipment is provided (brooms, mop/bucket in kitchen in the meter cupboard).

The tables should be wiped clean and returned to the table store located in the main hall entrance lobby – Small tables should be accessible near the front of the storeroom. Hirers are asked to return all chairs (stacked in piles of 7, keeping the 2 different styles separate) to the chair store at the back of the main hall. All rubbish is to be removed and disposed of by the Hirer and not left in the hall or beside the skips in the car park. Litter must not be left in any area around the outside of the premises. Mugs, cups and saucers and cutlery are available in the kitchen cupboards, along with jugs, catering size teapots, kettles and microwave. Any loss or damaged items will be charged for. Please note that tea towels are not provided.

Hirers must ensure that all internal lights are turned off and ensure that all windows are securely closed on leaving.

The kitchen should be checked to ensure that taps and electrical equipment are turned off. Also a check made of the storeroom, kitchen and toilet lights.

No ball games to be played in the hall.

BAR… Challenge 25 Policy In Operation

When the Galmington Social club bar facilities has been requested by the hirer (by contacting the Bar manager) and is open Patrons may be asked to produce Driving Licence, Passport or Pass card As Proof of Age.

Smokers may only use the designated smoking area at the rear of the premises.

No drinks may be taken outside of the premises or into the smoking area by any person. Any person in a drunken or disorderly manner will be asked to leave the premises

Bar Staff will refuse entry and service to anyone deemed intoxicated.

Please note – The main hall toilets are shared by members of Galmington Social Club during licensing hours.

LOWER HALL

The Fire Exits in the Lower hall use either the main door to exit to the footpath or the rear door and exit through the gate by the shed.
